Wait List Management

Enabling a wait list on your event allows customers to sign up for sold out tickets in case tickets become available in the future. Submitting a wait list request is free and customers will not provide payment information until their wait list request is approved.

Enabling the Wait List

To enable a wait list on your event, first go to Ticket Settings and enable Attendance Wait List. The wait list will be activated when the Overall Capacity/Attendee Limit is reached for the entire event. You can only enable the wait list for the entire event, and cannot activate the wait list for specific ticket types.


Understanding the Wait List Experience for Customers

When your Ticket/Attendee limit is reached, the "Buy Tickets" button on the event details page is changed to "Get on the Wait List." 

On the tickets page, customers will be shown a prompt informing them that the event is only accepting wait list requests. 

Customers interested in being added to the wait list will then provide their information. The form is the same as the normal buying process except it excludes credit card payment entry. The language makes it clear that the customer is NOT buying a ticket, only being put on a wait list. 

After submitting the wait list request, the customer is taken to a confirmation page that informs them that they will be notified via email if tickets become available. They will also receive an email with confirmation of their wait list reservation. 

If the customer’s wait list request is approved, the customer will get a second email that links them to a purchase page with their existing information prefilled. They can then enter their credit card information and complete the purchase. 


Managing Wait List Requests

You can view the list of customers who have made wait list requests under Manage Attendees, Manage Wait List. As the event organizer, you get to choose which customers should receive tickets off the wait list. To send tickets to a customer on the wait list, select the Send button next to their order information. 

Note: You don't have to change the number of tickets available to send a wait list ticket - these will send and allow the customer to purchase them regardless of limits. 


To delete a wait list request, click the "X" icon. Deleting a wait list request will remove it from this page, but does not notify the applicant that their request wasn't approved.
