Ticket Allotments

Allotments are an easier way to delegate sponsorship or comped ticket distribution to external users.

For example, if you work with a number of sponsors who receive a certain number of tickets to your event as part of your sponsorship deal, you can delegate access to users at the sponsorship company to allow them to manage and distribute tickets on your behalf.

What is an allotment?

An allotment is a specific set of tickets that a sponsor or third party should distribute as they see fit.

For example, Sponsor A should receive 100 GA tickets and 50 VIP tickets as part of their sponsorship package.

You can customize the allotment page text for the sponsor to provide custom distribution instructions to an authorized allotment user and also customize the invite email text the authorized user receives.

How to create and manage an allotment

  1. To create an allotment, navigate to 'Marketing & Promotion' > 'Allotments' on an event:

  1. Press 'Create Allotment'

  1. Create your allotment with your specified settings:
  • Name: The internal name you want to use to identify this allotment. This name is not shown to authorized users.
  • Sponsor Branding (optional): This option adds a sponsor's logo to the allotment distribution page
  • Allotment Authorized Users: These are the users that you're delegating distribution to. Add authorized users and then save the allotment to trigger an invite email. Authorized users will need to enter their email to get access to the distribution page.
  • Ticket Types: Select the kind and quantity of ticket types your authorized users have access to distribute. They will be able to make individual orders that distributed from this ticket pool.
    • Allow Overbooking: Select this option if you'd like the authorized users to always be able to fully distribute all their tickets regardless of individual ticket type limits.
  • Customization Settings
    • Custom Distribution Page Header Text: Use this to customize the initial header on the allotment distribution page. (default: Welcome [sponsor name] or Welcome [authorized user name]".
    • Custom Distribution Page Text: Use this to customize the instructions on the allotment distribution page. (default: Use this page to manage and distribute your allotted tickets. You can assign tickets to recipients and track distribution usage for the tickets you've been allotted.)
    • Custom Invite Email Text: Use this to customize the invite message in the email authorized users receive when they're added to an allotment. (default: You've been allotted tickets for [Event name] and are invited to distribute them to your guests, team, or VIPs. Allotments make it easy to manage your tickets in one place and ensure they go to the right people.)

How authorized users can distribute tickets and manage their orders

Once users have been added to an allotment, they will receive an email invite with a link to view the distribution page. You can also view the page link by clicking the "View Page" on the allotment manage page and entering an authorized users email address.

Users will see a page similar to this where they can:

  • View the number of tickets and types they have available to distribute
  • Create a new order
  • View existing orders
  • Cancel or edit an existing order
  • Resend tickets for an existing order

Note: Allotments are not compatible with events using reserved seating. We suggest sending complimentary tickets instead.
